Applying proposals to multiple accounts

Some bank statement lines cover transactions that relate to more than one account, for example, a single payment that covers open invoices from two different customers. Continia Banking supports applying one bank statement line to ledger entries from different accounts, both automatically and manually.

When a line is applied to more than one account, the Applied To column on the reconciliation shows Line applies different accounts.

Note

If multiple accounts are applied, the bank statement line uses the Account Type and Account No. values from the first applied account.

To apply proposals to multiple accounts automatically

The automatic matching pipeline generates proposals independently for each matching step. Different steps may each find a match on a different account for the same statement line. When auto-apply runs after matching, it applies all proposals together as long as their combined amounts are within tolerance.

No manual steps are required. After matching, you can open the Payment Application Review page for the line to review the proposals. The Payment Application Proposals subpage lists each proposal with its account type and account number, so you can see that proposals have been created for different accounts. The Account Name field in the Applied To section shows Line applies different accounts.

To apply ledger entries from multiple accounts manually

Use this procedure when you need to apply a bank statement line to open ledger entries from two or more different accounts. You can complete this procedure from the Apply Ledger Entries page or from the Payment Application Review page.

From the Apply Ledger Entries page

  1. Search (Search) for and select Bank Account Reconciliation or Payment Reconciliation Journal.
  2. Select the bank statement line and click Home > Apply Entries.
  3. The Apply Ledger Entries page opens and shows all available open ledger entries.
  4. Click Show Customer Ledger Entries to filter the list to customer entries.
  5. Locate the first customer invoice and select the Applied checkbox. The system populates the Applied Amount.
  6. To apply the second customer invoice, click Show All to remove the current filter, or click Show Customer Ledger Entries again if the filter was already cleared.
  7. Locate the second customer invoice and select the Applied checkbox.
  8. Review the Difference field in the totals section.

The system creates one payment application proposal for each entry with Found By set to Manual Application. The Applied To column on the reconciliation line updates to Line applies different accounts.

Note

When a line already has an account assigned, the Apply Ledger Entries page filters automatically to show only entries for that account. Click Show All to remove this filter and access entries from other accounts.

From the Payment Application Review page

  1. Search (Search) for and select Bank Account Reconciliation or Payment Reconciliation Journal.
  2. Select the bank statement line and click Home > Application Proposals.
  3. On the Payment Application Review page, click Home > Apply Entries.
  4. The Apply Ledger Entries page opens. Now you can apply the entries.

To unapply one account from a multi-account line

  1. Select the bank statement line and click Home > Application Proposals.

  2. On the Payment Application Review page, locate the proposal for the account you want to remove in the Payment Application Proposals subpage.

  3. Select the proposal and click Unapply Proposal.

    The system removes that proposal and recalculates the line difference. Other applied accounts remain unaffected.
