Working with SEPA mandate reports and email delivery

Continia Banking includes extended support for SEPA direct debit mandates. You can define a custom report for mandate documents, manage dedicated layouts, and send mandates directly to customers by email.

The type of mandate shown on the mandate report depends on the Partner Type field on the customer card:

  • Company - the mandate report indicates that the mandate is a B2B mandate.
  • Person - the mandate report indicates that the mandate is a CORE mandate.

Continia Banking provides the following layouts for mandate output:

  • Email Body Layout - defines the content of the email that delivers the mandate.
  • Email Attachment Layout - defines the content of the mandate document attached to the email.

To configure a mandate report layout

To link the mandate report to mandate processing:

  1. Search (Search) for and select Banking Report Selection.
  2. Go to the Usage field and select Banking SEPA Mandate to link the report to mandate processing. This field is populated automatically during the initial setup.
  3. Verify that the correct report and layouts are assigned.

To send a mandate by email

To send a SEPA direct debit mandate to a customer by email:

  1. Search (Search) for and select Customers, then open the card of the customer you want to send a mandate to.
  2. On the action bar, click Customer > Direct Debit Mandates.
  3. On the Direct Debit Mandates page, click Send.

The mandate is sent to the email address defined on the customer card or in the customer's Document Layout setup.

Note

If no email address is defined on the customer card or in the Document Layout setup, the mandate report is downloaded as a PDF file instead of being sent by email.

To review the email history and mandate record

To verify sent mandate emails and trace them back to the related mandate record:

  1. Search (Search) for and select Sent Emails.
  2. Select the email you want to review.
  3. On the action bar, click Show Source to view the email content and a link to the related mandate record.

Tip

Both the email layout and the mandate report layout attached to the email are based on Word layouts. You can download and customize these layouts to match your formatting or branding requirements.
